Managing Forms in rtSurvey App

Loading Blank Forms

A blank form is a .xml file containing a form definition compatible with the XForm specification. Blank forms can be created using XLSForm. It is worth noting that while rtSurvey’s forms are 100 percent backward compatible with Xforms Specs, RTA has added many extra features such as soft alerts and exams.

In order to fill out forms with survey participants, blank forms must be downloaded into the rtSurvey App first. Forms assigned to a user are downloaded automatically. In case a download was failed, you can download it manually by pressing the Download icon in Fill Form list.

Loading Forms from rtCloud Server

If you are logged in rtSurvey App, it means you are connected to an rtSurvey Cloud. A Survey Manager makes which forms available to you. All assigned forms appear automatically in your app’s Fill Form.

Loading form media

If a form includes images or other media, those files have to be loaded to the device along with the form. When using rtSurvey, the files are downloaded automatically when fetching forms from rtCloud.

Editing Saved Instances

Incomplete form instances can be edited after they have been saved.

  1. Select Edit Form
  2. Select the form-title containing instances to be edited.
  3. Select the instance-name you want to edit.

This will reopen the form instance, which you are then free to edit. Form instances are listed by name, which is one reason it can be helpful to define instance name clearly.

Note

  • Finalized instances and Sent instances will not appear in the Edit Form list.
  • Finalized forms, will be available for viewing in tab FINALIZED of Review Form list, along with the details which cannot be edited.
  • Sent forms, will be available for viewing in tab SENT of Review Form list, along with the details which cannot be edited.
  • You may freely edit Saved instances in Edit Form list.

Submitting Finalized Instances

Eventually, you will want to submit completed instances for analysis and data aggregation.

Doing this from within the rtSuvey Mobile App marks the instances as sent. Sent instances are no longer editable, but they remain viewable until they are deleted.

Submitting to rtCloud Server

If you are connected to Internet, use Send Form to submit Finalized instances.

Review Instances

Finalized or Sent instances can be reviewed after they have been saved or sent.

  1. Select Review Form on the app home screen.
  2. Select tab FINALIZED or SENT depending on the instance status.
  3. Select the form-title containing instances to be reviewed.
  4. Select the instance-name you want to review.

This will reopen the form instance, which you are then free to view as read-only values.

Note

  • Finalized instances are complete instances but not submitted to rtCloud Server and Finalized instances will not appear in the Edit Form list.

Request to Edit Instances

Finalized or Sent instances can be requested to edit if users find mistakes from them or just simply want to update answers.

  1. Select Review Form on the app home screen.
  2. Select tab FINALIZED or SENT depending on the instance status.
  3. Select the form-title containing instances to be reviewed.
  4. Select the instance-name you want to review.

This will reopen the form instance, which you are then free to view as read-only values.

  1. Table of Content (TOC) of the form will show up. Tap at the question you want to adjust answer.
  2. Tap the three-dot at the upper right corner to show the extended menu then tap the option [Request to Edit]
  3. Describe reason and content of the request then tap Submit

Note

  • If the instance is located in tab Finalized, the returned instance will be located in tab SAVED of Edit Form.
  • If the instance is located in tab Sent, the returned instance will be located in tab RETURNED of Edit Form.

Deleting Instances

You can delete Saved, Finalized, and Sent instances.

Deleting Incomplete instances

  1. Select Edit Form on the app home screen.
  2. Select the form-title containing instances to be deleted.
  3. Long press on the instance-name you want to delete until the trash bin icon shows up at the upper right corner.
  4. Tick the checkbox(es) of all the instance-name you want to delete or tick the check-all icon at the upper right corner.
  5. Tap the trash bin icon
  6. Tap OK to confirm the deletion

Caution

Once you decide to delete instances, it will be very difficult to recover them. Thus, please be careful with the deletion to avoid unwanted action!

Deleting Finalized instances

  1. Select Review Form on the app home screen.
  2. Select tab FINALIZED.
  3. Select the form-title containing instances to be deleted.
  4. Long press on the instance-name you want to delete until the trash bin icon shows up at the upper right corner.
  5. Tick the checkbox(es) of all the instance-name you want to delete or tick the check-all icon at the upper right corner.
  6. Tap the trash bin icon
  7. Tap OK to confirm the deletion

  6. Tap the trash bin icon
  7. Tap OK to confirm the deletion
