When deploying a team for offline data collection, proper preparation is critical to ensure data integrity and avoid delays in the field. Below are recommended best practices for device setup and enumerator training.

1. Device Configuration

Before heading into the field, ensure all mobile devices (tablets or smartphones) are configured correctly:

  • Battery and Power: Start every day with a 100% charge. Equip enumerators with high-capacity external power banks, especially in remote areas without reliable electricity.
  • Date and Time Settings: Ensure the device’s date, time, and timezone are set accurately (preferably set to automatic via network). Incorrect timestamps can invalidate submission metadata.
  • Location Services (GPS): Enable “High Accuracy” location services in the device settings. This allows the rtWork app to record precise geolocation coordinates when required by the survey.
  • Storage Space: Verify that devices have sufficient free storage space. Surveys with heavy media constraints (high-resolution photos, audio recordings) require adequate local storage before they are synced to the server.

2. App & Form Synchronization

A common mistake is arriving in an offline area without the latest survey version.

  • Pre-Download Forms: Enumerators must log in to the rtWork app and download the latest assigned forms while connected to a strong, stable internet connection (Wi-Fi preferred).
  • Test the Form: Have enumerators run through a “dummy” or “test” submission of the form on their device to ensure all skip logic, media prompt, and external datasets load correctly before leaving connectivity.

3. Training the Field Team

Technology is only as effective as the people using it. Ensure your team thoroughly understands the tools:

  • Hands-on Practice: Provide training sessions where enumerators practice downloading forms, filling them out, saving drafts, finalizing records, and syncing them.
  • Troubleshooting Protocols: Teach your team basic troubleshooting, such as restarting the device, clearing app cache, and understanding error messages. Provide a clear communication channel (e.g., a phone number or chat group) to reach technical support if they encounter persistent issues.

By following these protocols, project managers can drastically reduce errors and avoid data loss in the field.
